Automotive · dealerships, garages, workshops

Built by car salespeople. For dealerships.

Nearly seven years at dealerships, in new-car and fleet sales, for premium and mainstream brands. We have seen the calls lost during test drives, the web leads called back too late and the service customers who never set foot in the showroom. Xenaos was born to fix that.

Cockpit: a dealership call handled by Sophia, with the summary and every action taken
Born at a dealership, not in an incubator

We sold cars before we built Sophia.

On the showroom floor, at handovers, on the phone with fleet managers: we know a salesperson’s day because we lived it. Every Sophia scenario starts from a real situation, not a slide deck.

The Xenaos founding team · 25 years in B2B sales, automotive and real estate, including nearly 7 years in new-car and fleet sales

  • On a test drive with a customer, the phone buzzes in your pocket. You don’t pick up.

Sophia picks up, qualifies and books the appointment into your calendar.

  • The Friday-night web lead, called back on Monday. They signed elsewhere.

Sophia calls back within two minutes, evenings and weekends included.

  • The service customer you never see in the showroom.

Sophia offers a test drive during the service, once, without pushing.

  • The fleet manager waiting for an answer on their renewals.

Sophia takes the request, Pocket briefs the fleet salesperson before the call-back.

  • The CRM filled in at night, if you remember.

A 30-second spoken debrief to Pocket, and the CRM is up to date.

Every automotive trade

Every trade has its calls. Sophia knows yours.

The same foundations, scenarios written for each business. Here is what your customers ask, and what Sophia does with it.

Franchised dealership

Service, test drive of a new model, used-car availability, trade-in price, manufacturer recall.

She routes to service, new or used sales, books into the right calendar and offers a test drive at every service.

Agent and independent garage

Maintenance, breakdown, quote, parts lead time, “is my car ready?”.

She books the appointment, follows up pending quotes and lets you keep working under the bonnet.

Body shop

Claim, assessment, insurance cover, courtesy car, progress of the repair.

She collects the claim details, schedules the assessment and books the courtesy car.

Tyres and fast fit

Seasonal change, puncture, tyre storage, walk-in oil change.

She fills the peak-season slots and sends text reminders before calling.

Vehicle inspection

Booking, re-inspection, prices, documents to bring.

She books, reminds the day before and follows up re-inspections before the deadline.

Used-car dealer

“Still available?”, mileage, history, financing, trade-in.

She answers from your stock, qualifies the project and books the test drive before the prospect calls the next dealer.

Rental and leasing

Booking, extension, return, excess, damage found.

She handles routine requests, schedules returns and passes on disputes with the context.

Fleet and business sales

Fleet renewal, a new employee to equip, maintenance of company cars.

She qualifies the need, Pocket briefs the fleet salesperson and the CRM keeps every account’s history.

Breakdown and towing

Roadside breakdown, accident, location, assistance, arrival time.

She secures the situation, records the location and vehicle, then alerts the right team urgently.

Motorbikes, vans, motorhomes, trucks: same foundations, your vocabulary and your rules.

Department by department

Across the dealership, everyone wins.

After-sales

The workshop manager

A full schedule without the service desk picking up, quotes followed up, re-inspections and manufacturer recalls handled.

New-car sales

The sales manager

No more prospects on voicemail during a test drive, test drives born in the workshop, salespeople briefed by Pocket.

Used cars and trade-ins

The used-car manager

Trade-ins qualified before valuation, listing calls and forms handled within the minute.

Fleet

The business salesperson

Fleet managers’ requests taken care of, the account up to date, the brief ready before every meeting.

Reception

Reception and switchboard

Monday morning absorbed, calls routed to the right department with a summary, fewer interruptions at the desk.

Management

The site or group director

Every call visible by department and by site in Cockpit, and the revenue Sophia generated.

She speaks your language

A 60,000 km service is not an oil change. She knows.

Sophia is prepared with automotive vocabulary and yours: your brands, your models, your services, your rules. She understands what the customer means, even when they say it badly.

My engine warning light is on, and my lease ends in March. Should I get it fixed or wait?

I can offer you a diagnostic on Thursday at 8:30 am, that’s the safest option with an engine light. And for your lease ending in March, would you like an advisor to walk you through the options while the workshop looks after your car?

A dealership’s Cockpit: calls handled, appointments booked, what needs a decision

What Sophia can bring your dealership in a year.

Choose your industry and your plan, then adjust four figures. The assumptions are deliberately cautious, visible and editable: put in your own.

See and adjust the assumptions

Indicative, non-guaranteed estimate based on 22 working days a month. The gain adds up the revenue or margin entered for each lever and the value of the time given back to your team: it is not net profit. Outbound campaigns only count eligible contacts. Pocket is not counted in this calculation.

Estimated gain · to be checked against your figures—per year

And what no figure captures: the quality of service your customers feel.

Set-up

Connects to your tools, configured with your teams.

Cockpit is designed to connect to the dealership’s tools, DMS, CRM, workshop calendars, listing feeds, through their APIs or our automation workflows. We check your software’s compatibility during the demo.

  1. 1

    Scoping with your teams

Departments, hours, transfers, test-drive and trade-in rules, brand tone: we write the scenarios with you.

  2. 2

    Connections

Calendars, CRM, DMS and listings. We handle the set-up: you have nothing to build.

  3. 3

    Real-world tests

Your teams call Sophia, correct, approve. Nothing goes live without your sign-off.

  4. 4

    Gradual go-live

Overflow and closing hours first, then the rest when you are ready.

What dealership managers ask us.

Won’t offering a test drive at every service booking annoy customers?

Sophia offers it once, as a service, when the customer already plans to wait. If they decline, she notes it on the record and does not insist. You choose which customers, models and time slots are concerned.

Does she work with our DMS?

Cockpit is designed to connect to your tools, workshop calendars, DMS, CRM, used-car listing feeds, through their APIs or our automation workflows. You have nothing to build. We check your software’s compatibility during the demo.

Does Sophia know our used-car stock?

Yes, once connected to your stock or listing feed: availability, mileage, price, options. Without a connection, she takes the request and passes it to the right salesperson.

What about our manufacturer’s brand guidelines?

Sophia uses your greetings, your tone and your service commitments. We write the scenarios with you and you approve every answer before go-live.

We have several brands and several sites.

One number per site or a shared switchboard: Sophia routes by brand, site and department, and each team only sees what concerns it in Cockpit.

Will our salespeople accept it?

Sophia does not sell in their place: she brings them qualified appointments and saves them data entry. Pocket is their assistant, not a monitoring tool. We designed it with the salespeople we used to be in mind.

What if the customer wants to speak to someone?

She transfers the call to the right department, which gets the summary before picking up. If nobody is available, she takes a message and creates the call-back task.
